WorkSoul
Privacy Policy
Last updated: 26 July 2026
WorkSoul turns your chat conversations into a private, searchable second brain. This explains what we store, where, and how it's protected.
What we store
- The conversations you connect or import, and the tasks and summaries WorkSoul extracts from them.
- Account info: your email address and subscription status.
- A search index — numeric "embeddings" of your messages — so Ask can find the relevant lines.
- Your approximate location, only if you turn it on. It is off unless you switch it on in Settings, and it is used for one thing: so that asking WorkSoul to find somewhere nearby searches near you instead of guessing a city. Your device rounds it to about a kilometre before it is sent — it is a neighbourhood, not an address — and we store only that rounded position. Turning it off deletes it.
Where it's stored
- Your conversations are stored on WorkSoul's own servers, isolated per account and encrypted at rest (AES-256).
- The search index that makes them findable is held in a managed database, also encrypted at rest.
- Data always travels over an encrypted (HTTPS/TLS) connection.
- The app does not keep your conversations on your device — they stay on our servers and are fetched only while you view them. Your sign-in is stored encrypted on your device.
Who can access it
- In your own one-to-one chat with WorkSoul, and in the app: only you. Signing in is required, and every account is isolated from every other — one user can never see another's, on any platform.
- In a group chat you connect: the people in that group. WorkSoul answers there from that group's own conversation, so anyone in the group can ask it what was said in the group. It never reaches your other chats, and never another platform.
- A connected group's conversation is kept in the account of whoever connected it, and that person can also read it in the WorkSoul app. WorkSoul says whose account it is when the chat is connected, so everyone present sees it.
- We do not sell your data or share it with advertisers.
AI processing
- When you use Ask, WorkSoul sends only the few most relevant lines of your own conversations, plus your question, to an AI model to write the answer.
- These requests use a zero-retention setting, so the AI providers do not retain your text or use it to train their models.
Your controls
- Erase all data — permanently deletes everything WorkSoul has recorded for you: every message it captured, your tasks, your reminders and the search index, on our servers as well as on your device. Your account, your plan and your connected chats stay.
- Location — turn it off in Settings at any time and the stored position is deleted.
- Delete account — permanently removes your account and all conversations, tasks and settings from our servers.
- Both are under Settings → Data & Privacy.
Retention & contact
We keep your data until you delete it (or delete your account). Questions or requests? Use the in-app Comment, or email feedback@worksoulai.com.
